What is a DBS check?

DBS logoDBS stands for Disclosure and Barring Service. It used to be known as a CRB check (Criminal Records Bureau). The DBS is a non-departmental public body of the Home Office of the United Kingdom. They look at an individual’s record and scan for unprotected convictions, cautions, reprimands and warnings and may also search through intelligence held by the police. The check goes through police records and, in relevant cases, barred list information, and then a DBS certificate is issued to the applicant.

The DBS check allows businesses in the public, private and voluntary sectors to make safer recruitment decisions by identifying candidates who may be unsuitable for certain work, especially where it involves children or vulnerable adults, and provides wider access to criminal record information through its disclosure service for England and Wales. As a supply teacher, it is a legal requirement to obtain a DBS check prior entering school grounds.

Each education recruitment agency will have their own preferred supplier who completes all of their DBS checks. Therefore our first step of advice is to speak with your recruitment agency who will advise you accordingly.

There are 3 different types of checks available:      

Basic Disclosure Check   
Standard DBS Check   
Enhanced DBS Check  

How much does a DBS check cost?    

This can vary slightly depending on where you (or where your recruitment agency) obtain the DBS check from. It also varies depending on if you’re an employer applying for a DBS check on a worker, or if you’re an individual applying for a basic disclosure (Disclosure Scotland offer this service to all UK job applicants) Please note only employers and licensing bodies can request a full DBS check. Job applicants can’t do criminal records check on themselves. Instead, they can request a basic disclosure. On the government website, it states that as an employer, a standard check costs £26, and an enhanced check costs £44.

Some education recruitment agencies will pay for your DBS check on your behalf. Others may not. It really does depend on the recruitment agency.   

It is important to note that a DBS cost is not an allowable business expense and therefore cannot be claimed on expenses.   

Applying for a full DBS certificate     

Access to the DBS checking service is only available to registered employers who are entitled by law to ask an individual to reveal their full criminal history (other than protected cautions and convictions). The minimum age at which someone can be asked to apply for a criminal record check is 16 years old.

How long a DBS check is valid 

A DBS check has no official expiry date. Any information included will be accurate at the time the check was carried out. It is up to an employer to decide if and when a new check is needed.

Applicants and employers can use the DBS update service to keep a certificate up to date or carry out checks on their, or a potential employee’s certificate.

Overseas applicants

DBS cannot access criminal records held overseas, but it is possible to submit an application while the applicant is overseas.

In a small number of cases, overseas criminal records are held on the Police National Computer and these would be revealed as part of a criminal record check. You must still verify the identity of an overseas applicant.

Disputes  

An applicant can raise a dispute if they believe there’s been a mistake in either:

  • the records provided, like wrong or irrelevant information on convictions
  • personal information, like a name or employer’s details
